How to Choose a Software Development Company in Pune: A 10-Point Checklist

Pune is one of India's strongest technology hubs, with a large pool of engineers, designers and agencies. That is good news for buyers, but it also makes choosing difficult. Portfolios look similar, proposals use the same buzzwords, and the wrong choice can cost months and a large part of your budget.

Use this 10-point checklist to evaluate any software development company in Pune, or anywhere else.

1. Check relevant case studies, not just logos

A long client list says little. Ask for case studies similar to your project in domain, complexity or technology. Look for the problem solved, the approach taken and the outcome, as in our portfolio of case studies.

2. Confirm the technology fit

The team should recommend technology based on your needs, not only what they know. Ask why they suggest a particular stack, what the alternatives were, and how easy it will be to hire developers for it later.

3. Look for a discovery phase

Good partners ask many questions before quoting. A discovery or planning phase (workshops, user flows, scope definition) is a sign of maturity. Be cautious of anyone who sends a fixed quote after a single call.

4. Understand the process and communication

  • How often will you get progress updates and demos?
  • Who is your single point of contact?
  • Which tools do they use for tasks and communication?
  • How are changes in scope handled?

5. Ask who will actually work on your project

Meet the people who will build it, not only the sales team. Ask about team size, roles and experience, and whether the work is done in-house or subcontracted.

6. Demand transparent pricing and a clear contract

The proposal should state what is included (design, development, testing, deployment, training, support), payment milestones, and what counts as a change request. Vague scope is the most common cause of disputes.

7. Make sure you own the code and data

The contract should clearly say that intellectual property, source code and data belong to you on payment. Ask whether you will get repository access and documentation.

8. Check security and data-handling practices

Ask how they handle access control, backups, code reviews, testing and confidentiality (an NDA is standard). If your product handles personal data, they should be familiar with data protection requirements such as India's Digital Personal Data Protection Act.

9. Plan for support after launch

Software needs updates, fixes and improvements after go-live. Ask about maintenance plans, response times and what happens in the first weeks after launch.

10. Speak to references and read reviews

Ask for two or three past clients you can call, and check independent reviews on platforms such as Google and Clutch. Ask those clients how the team handled problems, not only whether the project was delivered.

Red flags to watch for

  • A price far below every other quote, with no explanation.
  • No questions about your business goals or users.
  • Reluctance to share past work or let you speak to clients.
  • No written scope, timeline or milestones.
  • Promises of guaranteed rankings, instant delivery or "unlimited" changes.

Questions to ask in your first meeting

  1. Have you built something similar to this? Can you show me?
  2. How will you validate the requirements before development?
  3. What are the biggest risks you see in this project?
  4. How do you test and release software?
  5. What do you need from us to keep the project on schedule?

Local or remote: does being in Pune matter?

Working with a nearby team makes workshops, site visits and quick catch-ups easier, which helps in the discovery phase especially. But good remote collaboration is equally possible. What matters more is communication discipline and a clear process.

Frequently asked questions

How many companies should I shortlist?

Three to five is practical. Share the same brief with each so you can compare proposals fairly.

Should I choose a freelancer or a software company?

Freelancers can work well for small, well-defined tasks. For larger projects, a company offers a team with design, development, testing and support, and reduces the risk of depending on one person.

What documents should I get before the project starts?

A signed proposal with scope and milestones, a contract covering IP ownership and payment terms, and an NDA if you are sharing sensitive information.
